Terms and Conditions - Fitness Dynamics

Please read the following terms and conditions carefully before using the Fitness Dynamics website or participating in any of our classes, programmes, or services. By accessing the website, booking, or attending sessions, you agree to comply with the terms outlined below.

1. Physical Activity Readiness (PARQ)

All participants must complete a Physical Activity Readiness Questionnaire (PARQ) before attending any sessions. This can be completed online the link to the form is available on the Safety Info page; if the PARQ flags any relevant health concerns, a medical clearance or doctor’s consent may be required before participation.

2. Payments and Booking

Please pay for classes through the website, Fit by Wix app, or in person.

  • You can book up to 6 weeks in advance, and we recommend booking at least 2 hours before class starts to secure your space.

  • Last-minute bookings are welcome but subject to availability, and we cannot guarantee a place if the class is already full.

3. Cancellation and Refunds

If you need to cancel a class booking, please do so as early as possible to free your place for someone else.

  • Community Classes: Cancel at least 2 hours before the class starts.

  • Zoom Classes: Cancel up to the session start time.

  • Mind Body Wellness Gold Members: Even with unlimited access, please cancel any class you won’t attend so others can book in.

If cancelled within the timeframe, you’ll receive an automatic credit back to your plan or be able to rebook another session.

To cancel a class, go to your profile via the app or website and click ‘Cancel’ next to your booking.

Refunds for missed or late-cancelled classes are not available. For queries, please contact Sam at Fitness Dynamics.

4. Waiting List and Availability

If a class is fully booked, you can join the waiting list through the app. If a space becomes available, you’ll receive a notification so you can book in.

5. Class Schedule and Breaks

Classes run for a minimum of 45 weeks per year. Breaks usually occur during:

  • Christmas (typically two weeks)

  • Easter and half terms (occasional weeks off)

  • Bank holidays (most classes paused)

We aim to run classes during local school holidays and will publish any seasonal timetables in advance. Bonus classes such as ‘Pilates in the Park’ or ‘Festive Candlelit Pilates’ may be offered when possible.

6. Pilates Personal Training Packages

Private Pilates sessions are non-refundable. In exceptional cases, cancellations may be considered at the discretion of Fitness Dynamics.

7. Unforeseen Cancellations

If a class or session is cancelled by Fitness Dynamics:

  • You may transfer your booking to another class within one month.

  • If you paid using a plan, a credit will be returned to that plan for future use.

8. Memberships and Subscription Plans

Memberships are billed monthly by recurring card payment. This is not a direct debit or standing order, and is not linked directly to your bank account.

Rolling Monthly Subscriptions

Your plan renews automatically each month on the same date you joined. Payments will continue unless you cancel.

Cancelling Your Membership

You can cancel your membership at any time by logging into your account. Here's how to cancel via your Members Area:

  1. Log in to the website.

  2. Click your member profile at the top of the site.

  3. Select My Subscriptions from the drop-down menu.

  4. Click the More Actions arrow next to your plan.

  5. Click Cancel Subscription.

  6. Click Yes, Cancel to confirm.

If you prefer me to cancel it for you, I’m happy to help — please give at least 3 working days’ notice before your next payment date so I can action it in time.

⚠️ Refunds are not available for late cancellations once a payment has already been taken.
Once cancelled, no further payments will be processed, and access will end at the end of your current billing period.

Plan Expiry for Class Packs

  • 6-Class Plan: valid for 8 weeks

  • 12-Class Plan: valid for 14 weeks

Booking in advance is recommended to ensure you get a space in your preferred classes.

9. Discounts and Offers

Any discounts or promotions are subject to specific terms and expiry dates, which will be clearly stated when advertised.

10. Dress Code and Equipment

Please wear comfortable, supportive clothing and bring:

  • A mat for Pilates and fitness sessions

  • A water bottle to stay hydrated

  • Prickle balls if attending Trigger Point Pilates

11. Participant Autonomy and Safety

You are free to stop or modify any exercise at any time. Please listen to your body, especially if you feel discomfort, pain, or fatigue.

Instructors will offer modifications for known injuries or conditions. Let us know about any limitations so we can support you safely.

12. Parental Responsibility

If a child aged 14 or over attends or accompanies you, parents/guardians remain responsible for their safety and conduct throughout the class.

13. Results and Commitment

Results vary depending on individual commitment and circumstances. Regular attendance, healthy eating, rest, and self-care all play a role in achieving the outcomes you’re aiming for. We're here to support you on your journey.

14. Exercising at Your Own Risk

All participation is at your own risk. Be aware of your surroundings, communicate any issues with your instructor, and respect your body’s limits.

If you are pregnant, postnatal, recovering from illness or injury, or managing a medical condition, please inform the instructor. You may be asked to get clearance from your GP before joining certain classes.

15. Media Consent

Photos or short videos may be taken during classes for use on our website, social media, or marketing materials.

We’ll always ask first, and if you prefer not to be featured, just let us know. You can opt out at any time by speaking to the instructor or confirming in writing.

Participation in fitness or wellness content is entirely at your own risk. Please consult a qualified healthcare professional before making changes to your exercise routine, nutrition, or lifestyle — especially if you have existing health conditions, are pregnant or postnatal, or are recovering from illness or injury.

By using this website or participating in any classes or programmes, you acknowledge that:

  • You are responsible for your own health and decisions

  • You understand that results vary and are not guaranteed

  • Fitness Dynamics and Sam Horton do not accept liability for any injury, loss, or damage resulting from use of the content

We encourage you to seek professional support when needed, and to use the information provided here as a supplement — not a substitute — for personalised care.

17. Temporary Closures or Interruptions

If Fitness Dynamics needs to close temporarily (e.g. due to venue maintenance, instructor illness, or emergencies), I’ll always aim to offer class credits, rescheduling, or access to recorded sessions where possible.

If closure exceeds 14 consecutive days, affected members may request a refund or class plan extension.

I always do my best to minimise disruption and support you with alternative options if a class cannot go ahead.

18. Changes to Membership and Terms

Fitness Dynamics may update membership features, pricing, or terms from time to time. If we make any significant changes, we’ll let you know by email or via the app.

Your continued use of the membership or booking system after changes are made means you accept the updated terms.
