Terms and Conditions, Fitness Dynamics

Please read these terms and conditions carefully before using the Fitness Dynamics website or participating in any classes, programmes, memberships, or services.

By accessing the website, booking, or attending any sessions, you agree to the terms set out below.

1. Physical Activity Readiness (PAR-Q+)

All participants must complete a Physical Activity Readiness Questionnaire (PAR-Q+) before attending any classes or sessions.

The PAR-Q+ is available via the FAQs and in the footer of every page on the Fitness Dynamics website. If your responses indicate any relevant health concerns, I may require medical clearance or GP consent before participation.

2. Payments and Booking

Classes and sessions may be booked and paid for through the website, the Fit by Wix app, or in person where offered.

You can book classes up to 6 weeks in advance. I recommend booking at least 2 hours before a class starts to secure your space. Last-minute bookings are welcome but subject to availability, and a space cannot be guaranteed if a class is already full.

3. Class Cancellations and Refunds

If you need to cancel a class booking, please do so as early as possible to allow others to book in.

  • Community classes: cancel at least 2 hours before the class starts

  • Zoom classes: cancel up to the session start time

  • Mind Body Wellness Gold Members: even with unlimited access, please cancel any class you will not attend

If you cancel within the relevant timeframe, a credit will be returned to your plan or package, or you may rebook another session where applicable.

Cancellations made within 2 hours of the class start time, or non-attendance, are not eligible for a refund or credit.

4. Single Class Bookings (Manual Credits)

If you have booked and paid for a single class online and cancel more than 2 hours before the class starts:

  • you may reschedule into another available class, or

  • a class credit can be added to your account

Credits for single-class bookings are not automated. Please contact me directly so I can apply this manually.

 

5. Waiting Lists and Availability

If a class is fully booked, you may join the waiting list via the website or app. If a space becomes available, you will receive a notification allowing you to book in.

 

6. Class Schedule and Breaks

I aim to run classes for a minimum of 45 weeks per year.

Breaks may occur during:

  • Christmas (typically two weeks)

  • Easter and school half terms (occasional weeks)

  • Bank holidays (most classes paused)

Where possible, I aim to run classes during local school holidays and will publish any seasonal timetable changes in advance. Bonus classes such as Pilates in the Park or Festive Candlelit Pilates may be offered when available.

 

7. Personal Pilates Sessions (1-to-1 and Small Group)

Private Pilates sessions are arranged directly with me.

Private sessions are non-refundable. If you need to cancel or reschedule, please give as much notice as possible. Where notice is given and availability allows, I may offer an alternative session time at my discretion.

 

8. Unforeseen Cancellations by Fitness Dynamics

If I need to cancel a class or session, you may transfer your booking to another suitable class or session, or receive a credit back to your plan or package for future use.

 

9. Memberships and Subscription Plans

Memberships are billed monthly by recurring card payment. This is not a direct debit or standing order.

Rolling Monthly Subscriptions

Your membership renews automatically each month on the same date you joined, unless cancelled.

Cancelling Your Membership

You are responsible for cancelling your membership yourself via your online account at least 24 hours before your next payment due date.

If you would like me to cancel the membership on your behalf, please contact me with more than 24 hours’ notice. This additional time allows me to see your message and action the cancellation before payment is processed.

Refunds are not available once a payment has been taken. Once cancelled, access will continue until the end of your current billing period.

Class Pack Expiry

  • 6-class plan: valid for 8 weeks

  • 12-class plan: valid for 14 weeks

Booking in advance is recommended to secure a place in your preferred classes.

 

10. Discounts and Offers

Any discounts, promotions, or special offers are subject to specific terms and expiry dates, which will be clearly stated at the time of advertising.

 

11. What to Wear and Bring

Please wear comfortable, supportive clothing and bring:

  • a mat for Pilates and fitness sessions

  • a water bottle

  • prickle balls if attending Trigger Point Pilates (if you have them)

 

12. Participant Autonomy and Safety

You are free to stop, rest, or modify any exercise at any time. Please listen to your body, particularly if you experience discomfort, pain, or unusual fatigue.

I will offer modifications where appropriate. Please inform me of any injuries, conditions, or limitations so I can support you safely.

 

13. Parental Responsibility

If a young person aged 14 or over attends or accompanies you, parents or guardians remain responsible for their safety and conduct at all times.

 

14. Results and Commitment

Results vary depending on individual circumstances and commitment. Regular attendance, appropriate nutrition, rest, and self-care all contribute to outcomes. I support you throughout your journey, but results cannot be guaranteed.

 

15. Exercising at Your Own Risk

All participation is at your own risk. Please be aware of your surroundings, communicate any concerns, and respect your body’s limits.

If you are pregnant, postnatal, recovering from illness or injury, or managing a medical condition, please inform me. You may be asked to obtain GP clearance before participating in certain classes or sessions.

 

16. Media Consent

Occasionally, photos or short videos may be taken during classes for use on the website, social media, or marketing materials.

I will always ask first. If you prefer not to be featured, please let me know. You may opt out at any time verbally or in writing.

 

17. Website and Content Disclaimer

All content on the Fitness Dynamics website, including blog posts, videos, classes, programmes, and resources, is provided for informational, educational, and inspirational purposes only.

Nothing on this website constitutes medical advice, diagnosis, or treatment, nor does it replace advice from your GP, physiotherapist, mental health professional, or other qualified practitioner.

Before making changes to your exercise routine, nutrition, or lifestyle, please seek appropriate professional advice, particularly if you have health conditions, are pregnant or postnatal, or are recovering from illness or injury.

By using this website or participating in classes, you acknowledge that:

  • you are responsible for your own health decisions

  • results are not guaranteed

  • Fitness Dynamics and Sam Horton accept no liability for injury, loss, or damage arising from participation or use of website content

 

18. Temporary Closures or Interruptions

If I need to close temporarily due to venue issues, illness, or emergencies, I will aim to offer credits, rescheduling, or access to recordings where appropriate.

If a closure exceeds 14 consecutive days, affected members may request a refund or extension, subject to circumstances.

 

19. Changes to Membership and Terms

I may update these terms, membership features, or pricing from time to time. Any significant changes will be communicated by email or via the app.

Continued use of the website, booking system, or membership after changes are made constitutes acceptance of the updated terms.
